Title: Executive Assistant / Administrator

Location: Midtown NYC (4 Days Onsite)

Responsibilities

  • Provide comprehensive administrative support to Managing Directors and deal teams, including managing travel, itineraries, agendas, and complex calendars.
  • Keep Managing Directors and deal teams informed of upcoming commitments and responsibilities, ensuring timely follow-up.
  • Act as a "barometer," staying aware of environmental issues and updating executives as necessary.
  • Plan, coordinate, and prioritize meetings based on business needs, and implement team scheduling best practices using ES software and applications.
  • Perform a variety of administrative tasks such as managing expense reports, correspondence, charitable requests, and client gifts and entertainment.
  • Take on a proactive, hands-on approach to complete deliverables, manage schedules, and enhance communication and collaboration across teams and offices.
  • Lead and execute small local events and complex internal/external events, conferences, and dinners requiring strong project management skills.
  • Provide executive deal administrative support, manage internal databases, assist with deal marketing, data reporting, NDA documentation, and coordinate with internal and external counsel.


Qualifications


  • Bachelor’s Degree preferred and 5+ years of experience in a corporate environment working with senior-level executives.
  • Proficient in MS Office, Microsoft Teams, Zoom, with strong tech skills; experience in Concur expense management and travel booking is a plus.
  • Excellent organizational skills, capable of managing multiple tasks with attention to detail and high performance in a fast-paced environment.
  • Strong emotional intelligence, interpersonal skills, and the ability to build relationships across teams and firms.
  • Exceptional written and verbal communication skills, proactive problem-solving, decision-making capabilities, and discretion in handling competing demands.
