Job Summary: The Operations and Facilities Associate is responsible for supporting the daily operational and facility needs of the organization. This role ensures that the workplace runs smoothly and efficiently, and maintains a safe, functional and welcoming environment for employees and visitors at Wantable facilities. Must have your own vehicle and the flexibility to occasionally drive to the Wantable Fulfillment Center in Milwaukee for various tasks.
Key Responsibilities:
Facility Management:
Oversee the maintenance and repair of office spaces, equipment and facilities
Coordinate with external vendors and service providers for maintenance, repairs and other facility services
Manage office supplies inventory, including ordering and restocking as needed
Conduct regular inspections of the facilities to identify and resolve issues
Operations Support:
Assist in the planning and execution of office moves and space reconfigurations
Support the operations team in implementing and improving operational policies and procedures
Coordinate logistics for company events, meetings, and conferences, including actively participating in setup and teardown
Maintain records and documentation related to facilities and operations
Administrative Duties:
Manage incoming and outgoing mail and deliveries
Handle administrative tasks such as filing, data entry and maintaining contact lists
Assist with budget tracking and expense reporting for facilities and operations
Health and Safety:
Ensure that emergency response plans are up-to-date and that employees are trained on safety procedures
Conduct regular safety drills and inspections to ensure compliance with safety regulations
Customer Service:
Provide excellent customer service to employees and visitors, addressing inquiries and resolving issues promptly
Act as the point of contact for facility-related requests and concerns
Various Duties:
Support operations by running errands and completing various tasks as needed.
Requirements
Qualifications:
High school diploma or equivalent; associate degree or higher preferred
2+ years of experience in facilities management, operations support or a related field
Strong organizational, multitasking skills and attention to detail
Excellent communication and interpersonal skills
Proficiency in Google suite applications for purposes of email communication etc
Ability to lift and move heavy objects as needed
Familiarity with basic maintenance tools and equipment
Preferred Skills:
Knowledge of health, safety, and environmental regulations
Experience with vendor management and contract negotiation
Experience with Google Sheets or Microsoft Excel
Ability to work independently and as part of a team
Strong problem-solving skills and attention to detail
Working Conditions:
This position may require occasional evening or weekend work for events or emergency repairs
The role involves a mix of office work and physical tasks, such as moving furniture or equipment
