How Will You Make an Impact?

  • Administrative Support: Provide comprehensive administrative assistance to tax professionals, ensuring smooth operations and efficient workflow management.
  • Workflow Oversight: Manage and oversee project workflows in XCM, meticulously tracking deadlines and project milestones.
  • Tax Return Assembly: Accurately assemble and prepare tax returns for submission.
  • Document Management: Administer and organize Sureprep and E-file folders, ensuring all documents are properly maintained and accessible.
  • E-filing: File tax returns electronically, monitor for acceptances and rejections, and address any issues promptly.
  • Event Coordination: Plan and arrange lunch orders for meetings and deadlines, and organize department happy hours, and special events.
  • File Management: Scan and maintain the workpaper file cabinet, ensuring all documents are accurately filed and readily available.
  • Client Workpapers: Download, save, and print client workpapers from Sureprep to Sharepoint, ensuring proper documentation.
  • Client Binder Creation: Create and maintain client binders in Sureprep, ensuring completeness and accuracy.
  • Office Equipment Maintenance: Ensure office equipment is well stocked and operational, including paper supplies and copier maintenance.
  • Mail Management: Conduct regular post office runs twice weekly (or more frequently as needed), handle certified and priority mail, and prepare packages for FedEx and UPS.
  • Courier Services: Order and manage courier services as required.
  • Reception Support: Serve as a backup for the receptionist, providing coverage as needed.


How Will You Get Here?

  • Experience: A minimum of 3-5 years of recent office experience, preferably within public accounting.
  • Adaptability: Demonstrated ability to thrive in a fast paced, dynamic environment.
  • Technical Proficiency: Intermediate to advanced competency in Microsoft Office Suite and Adobe Acrobat.
  • Communication Tools: Familiarity with softphone platforms such as Teams and Zoom.
  • Tech Savvy: Strong technical skills with the capability to learn and adapt to new software applications.
  • Workflow Management: Experience with web based workflow management solutions preferred; familiarity with XCM is an advantage.
  • Core Skills: Proficiency in time management, organization, written and verbal communication, and problem solving.
  • Flexibility: Willingness to work additional hours during peak seasons.
  • Versatility: Readiness to take on additional responsibilities as required.
  • Physical Capability: Ability to lift and/or move up to 30 pounds.
  • Driving Requirements: Valid driver's license, a safe driving record, and proof of insurance.
