"Set clear expectations." okay, but how do I do that? Step 1. Define Roles and Responsibilities, and keep it simple. Here are the R&Rs for my customer service position. Customer Service -Answer and direct phone calls; filter and assign leads as appropriate. Sales Order Entry -Handling customer orders by reviewing and entering purchase orders. -Ensure customer requirements are well understood and flowed down to proper departments. -Confirm ship dates with customers. -Manage Sales@clearwatercomposites.com shared inbox Shipping and Invoicing -Monitor ship dates in QuickBooks to ensure ship dates are met or communicated -Generate invoice from Sales Order -Ship product per requested method Sales Support -Miscellaneous tasks as assigned from Sales. Step 2. Develop leading and lagging Scorecards for each R&R Example: Sales Order Entry 1) Qty of orders entered 2) Average time per order 3) Order entry accuracy Step 3. Measure. Monitor scorecard items and address any issues as they come up. Our goal as customer support executives is to provide top-notch services and ensure our customers' needs are met at the right time. However, I've noticed a common mistake that can lead to frustration and missed opportunities which is contacting customers without a clear call to action. It's just like starting a conversation without a clear direction or goal. When we reach out to customers without a specific purpose or next step, it can lead to confusion and inaction. It could be so annoying also, like a time wasting conversation. A clear call to action (CTA) is essential in customer support/success. A good call to action sets clear expectations, helps to provides clarity and purpose on both sides, helps track progress, helps track outcomes and it also encourages engagement.
